Only the Business Admin can grant or change permissions. Staff members (User role) cannot change their own access.
How permissions work
Access in Childcare Compliance NZ is granted in three steps, in order. Each step unlocks the next.
Step 1 — Centre access
Decide which centre or centres this person can see. A staff member with no centre access cannot see any data in the app.
Step 2 — Module access
For each centre you’ve granted, choose which modules this person can open (for example, Incidents but not Compliance Register). A staff member sees only the modules you tick here.
Step 3 — Feature permissions
For each module you’ve granted, set the level of access for each feature within that module — Full Access, Read Only, or No Access.
You must complete each step before the next one takes effect. Granting module access without first saving centre access will have no effect. Granting feature permissions without first saving module access will have no effect.
Where to do this
Go to HR → Staff and open the staff member’s profile. Click the Permissions tab (last tab, after Documents).

Multi-Site Dashboard
The Multi-Site Dashboard is a read-only aggregation view across all centres. It has no discrete feature permissions — granting module access gives the staff member the full view automatically. It appears only for businesses with two or more centres.
Removing access
To remove a staff member’s access to a centre or module, uncheck the relevant box on the Permissions tab and save. You will be asked to confirm before any access is removed.
Removing centre access also removes all module and feature permissions for that centre immediately. This cannot be undone — you will need to re-grant access manually if needed.
