Removing centre or module access
For Staff role users, access is granted centre by centre and module by module. To remove access to a specific centre or module, open their user record from Settings → Users & Permissions and adjust their centre and module access. You’ll be asked to confirm before access is removed. Removal takes effect immediately — they’ll lose access to that centre or module on their next page load.Removing a user’s login entirely
To remove someone’s platform access entirely, open their record and use the Delete Staff Member option. This:- Removes their login from the platform
- Clears their auth account
- Removes their access to all centres and modules
Deleting a staff member removes their login but their compliance records, training history, and document records are retained. The platform keeps compliance data for audit purposes even after someone leaves.
Staff records without logins
If a staff member never had a platform login — they were added as a record only — there’s no login to revoke. Their staff record can remain in the system for compliance purposes. If you no longer need the record, you can delete it from their staff profile in the HR section.What happens to their data
- Compliance records (police vetting, teacher registration, qualifications) — retained
- Training records — retained
- Documents — retained
- Candidate records (if they came through recruitment) — retained
- Login access — removed immediately
- Active sessions — terminated
