Admin
Admins have full access to everything in the platform — all centres, all enabled modules, all settings, and all HR and compliance data. There’s no configuration required for admin access; it’s automatic. Admins can:- Access all centres and modules
- Manage staff records and invitations
- View and manage all HR data including pay parity
- Manage compliance, policies, and evidence
- Change business settings and branding
- Invite new users and manage permissions
Staff
Staff users start with no access until an admin grants it. This allows you to control exactly what each person can see and do in the platform. Access for Staff users is configured in three layers: Centre access — which centres they can see. A staff member at a single-centre operation typically has access to one centre; multi-centre staff may have access to multiple. Module access — per centre, which modules they can use. For example, a staff member might have access to the Emergency & Drills module but not to Compliance Monitoring. Feature permissions — per module per centre: Full Access, Read Only, or No Access. This allows fine-grained control within a module — for example, a staff member might be able to view the hazard register but not add or edit records. Staff users can always access:- Their own training modules and induction
- Policy acknowledgements assigned to them
HR access
The HR Access permission flag grants a Staff user access to the HR module — candidates, vacancies, staff records, scheduling, and pay parity data. It’s separate from the module access system and is toggled on a user’s profile. Admins automatically have HR access. For Staff users, it must be explicitly granted.Compliance access
The Compliance Access permission flag grants a Staff user access to compliance management areas — the Compliance Register, ERO Audit Prep, and the ability to manage incidents, hazards, and other compliance workflows. From Settings → Users & Permissions, open the user’s record. You’ll see:- Centre Access — checkboxes for each centre
- Module Access — per centre, checkboxes for each enabled module
- Feature Permissions — per module per centre, dropdowns for Full Access / Read Only / No Access
- HR Access — a toggle
- Compliance Access — a toggle
