Policy acknowledgements create a record that each staff member has read and understood a specific policy. Once a policy is published, you can assign it to any or all staff members, set an optional due date, and track who has acknowledged and who hasn’t.

Assigning a policy for acknowledgement

From the policy detail page, go to the Acknowledgements tab and click Assign Staff. Select the staff members you want to assign the policy to and optionally set a due date. The policy will appear in each staff member’s acknowledgement queue immediately. You can assign additional staff members at any time. Existing acknowledgement records aren’t affected.

Tracking acknowledgements

The Acknowledgements tab shows every staff member assigned to the policy with their status:
  • Acknowledged — with the date they confirmed
  • Pending — not yet acknowledged
  • Overdue — pending past the due date (highlighted in red)
The policy list on the main Centre Policies page also shows an acknowledgement count for each policy (e.g. “4 of 6 staff acknowledged”) so you can see progress without opening each policy.

How staff acknowledge a policy

Staff members with a pending acknowledgement will see it in their acknowledgement queue. They can access this from Centre Policies → My Acknowledgements in the sidebar. From there they can:
  • See all policies assigned to them that are pending acknowledgement, with the due date if one was set
  • Click into a policy to read the full content
  • Check “I have read and understood this policy” and click Acknowledge
Once acknowledged, the policy is removed from their pending list and the acknowledgement date is recorded.
Overdue acknowledgements are highlighted in red in both the staff queue and the admin Acknowledgements tab. If a policy is critical, follow up with staff directly — the platform records the status but does not send automatic reminders.

Re-acknowledgement after updates

If you edit a policy and save a new version, any previous acknowledgements remain on record for the old version. If you want staff to re-acknowledge the updated policy, assign them again from the Acknowledgements tab. This creates new pending acknowledgement records alongside the historical ones.
