Setting a review cycle
Each policy has two review fields:- Review frequency — how often the policy should be reviewed (e.g. annually, every two years, every three years)
- Next review date — the date the policy is next due for review
Review status indicators
The policy list uses colour-coded indicators to flag review status:- 🟡 Amber — the policy is due for review within the next 30 days
- 🔴 Red — the policy review date has passed and it hasn’t been reviewed
Completing a review
When you review a policy, open it and make any necessary updates in the editor. On save, set the Next review date forward to the next due date based on your review frequency. If no changes are needed, open the policy, note in the change note field that the policy was reviewed with no changes, and update the next review date. This records that a review took place even if the content didn’t change.What to check during a review
When reviewing a policy, consider:- Does the policy still reflect how your centre actually operates?
- Have there been any changes to the April 2026 licensing criteria that affect this policy?
- Has the CCNZ team updated the source template? (A blue banner will appear if so)
- Do the procedures, role references, and contact details still apply?
- Does the policy need to be re-acknowledged by staff following changes?
Template updates and reviews
If the CCNZ team updates a template your policy was adopted from, the blue update banner is a prompt to review that policy — even if the scheduled review date isn’t due yet. Regulation changes or Ministry guidance updates may make an out-of-cycle review appropriate.Licensing criteria requirements can change. The CCNZ team updates templates when significant changes occur, but you remain responsible for ensuring your policies meet your current obligations. If in doubt, check the Ministry of Education’s current licensing criteria or seek advice from your licensor.
