If you have a policy that doesn’t match any template in the CCNZ library, you can write it directly in the platform. Policies created from scratch work exactly the same as adopted policies — they’re versioned, assignable for acknowledgement, and included in your ERO evidence pack.

Starting a new policy

From the Centre Policies page, click Add Policy and select Create from Scratch. Fill in the following:
  • Title — the policy name (e.g. “Outdoor Play Supervision”)
  • Category — Curriculum, Premises & Facilities, Health & Safety, or Governance, Management & Administration
  • Owner — the staff member responsible for this policy
  • Review frequency — how often the policy should be reviewed (e.g. annually, every two years)
  • Next review date — when the first review is due

Writing the content

The policy editor supports rich text formatting — headings, bullet lists, numbered lists, bold, italic, and tables. You can also paste content from Word or another editor and the formatting will be preserved where possible. Tag the policy to one or more licensing criteria using the criterion selector. This links the policy as evidence in your Compliance Register for each criterion it covers — so a well-tagged policy library builds your compliance evidence automatically.

Saving and publishing

Save your policy as Draft while you’re working on it. Draft policies aren’t visible to staff and can’t be assigned for acknowledgement. When the policy is ready, change the status to Active and save. The policy is now live in your register.

Editing later

You can edit any policy at any time. When you save changes, the previous version is automatically archived with a timestamp and the editor’s name. You can add an optional change note to describe what was updated — useful for audit purposes and for staff who need to re-acknowledge.

PDF export

From the policy detail page, click Export to PDF to generate a clean PDF of the current policy. The PDF includes your centre name, policy title, category, version number, status, owner, last reviewed date, and a footer with the current date and next review due date.
