When to record a review
Record a pay review when:- A staff member joins and you’re setting their initial pay parity position
- A staff member’s service hours have increased enough to move to a higher step (the platform will flag this as Step Due)
- A staff member’s qualification group changes (e.g. they’ve gained a higher qualification)
- You need to update their actual hourly rate or contracted hours
How to record a review
From the Pay Parity register, find the staff member and click Record Pay Review — or open their staff profile, go to the Pay Parity tab, and click Record Pay Review there. The review modal asks for: Qualification group — P1 through P5. Pre-filled from their last review. NZ recognised ECE service hours — the total hours of NZ-recognised ECE service they’ve completed. This is the primary driver of step progression. Other relevant experience hours — additional experience that contributes to step calculation. Current step number — the step they’re actually being paid at. The platform calculates and shows the minimum required step alongside this so you can compare. Hourly rate — their actual hourly rate in dollars. Annual salary — their annual salary in dollars. Contracted hours per week — how many hours per week they’re contracted for. Notes — any relevant context for this review. Click Save Review to record it. The review is immediately reflected in the register’s compliance status for that staff member.The review audit trail
Every review is permanent and append-only. You can see the full review history for any staff member from their Pay Parity tab on their staff profile. Reviews show the scale, qualification group, service hours, calculated minimum step, actual step, and hourly rate at the time of the review — so you have a complete picture of their pay parity history over time.Compliance status after a review
After recording a review, the staff member’s compliance status on the register updates immediately:- If their actual step is at or above the minimum — Compliant
- If their actual step is below the minimum — Shortfall (requires immediate attention)
- If they’re compliant but service hours have reached the next threshold — Step Due
