The Staff section is where you manage your team’s records. Every person who works at your centre — whether they have a platform login or not — can have a staff record here. Records hold their personal details, compliance status, qualifications, employment history, training progress, and documents.

The staff list

The staff list shows everyone in your business with their job title, centre assignments, role, and start date. You can filter by centre to see the team at a specific location. Staff are shown with a login status indicator:
  • Active — has accepted their invitation and can log in
  • Invited — invitation sent but not yet accepted
  • Not invited — a staff record exists but no login has been created yet

Staff records vs logins

Staff records and platform logins are separate things. You can create a full staff record — including all compliance data, qualifications, and documents — for someone who doesn’t have a login yet. When you’re ready, send them an invitation and all their existing data carries over automatically. This means you can set up your entire team’s compliance records before deciding who logs in. Casual relievers and support staff who don’t need platform access can have full compliance records without ever receiving an invitation.

The staff profile

Each staff member has a profile page with six tabs:
  • Details — personal information, centre assignments, employment status, and address history
  • Compliance — police vetting, teacher registration, and visa/work rights records with full history
  • Qualifications — first aid certificate and other qualifications
  • Pay Parity — pay parity configuration and review history (HR access required to view)
  • Training — induction and ongoing training records
  • Documents — uploaded files attached to this staff member

Who can access the Staff section

Admins and users with HR access can view and manage staff records. Pay Parity data within a staff profile is only visible to HR access users.
