Before you can send booking links, you need to set up your availability. This tells the platform which days and times you’re free, and how long each appointment slot should be.

Setting your availability

Your availability is managed from your Profile page — go to Settings → Profile and scroll to the Interview & Scheduling Availability section. The availability editor shows the seven days of the week. For each day:
  • Toggle the day on or off — days that are off won’t show any available slots to candidates or referees
  • Add time blocks — for days that are on, set one or more blocks of available time (e.g. 9:00am–12:00pm and 2:00pm–5:00pm)
  • Multiple blocks per day — if you have a break in the middle of the day, add two separate blocks rather than one long one
Slot duration — set how long each appointment should be, in minutes. The default is 30 minutes. This applies to all appointment types (interviews and reference checks use the same slot duration). Click Save availability when you’re done.

How availability becomes slots

When a candidate or referee opens their booking link, the platform calculates available slots from your availability template. It removes:
  • Slots in the past
  • Slots that are already booked
  • Slots that fall outside the number of weeks ahead set when the invite was sent
All slots are shown in New Zealand time on the booking page.

Updating your availability

You can update your availability at any time from your Profile page. Changes apply immediately to new booking links — they don’t affect appointments that are already booked. If you need to block out a specific day (for example, you’re on leave), removing that day temporarily from your availability template will prevent new bookings. Existing appointments aren’t cancelled automatically — contact the candidate or referee directly if you need to reschedule.
