The staff profile is the central record for each member of your team. It brings together everything relevant to that person in one place.

Details tab

The Details tab holds the staff member’s personal information and employment details:
  • Full name and preferred name
  • Email and phone
  • Date of birth
  • Job title, employment type, and start date
  • Centre assignments — which centres they work at and which is their primary centre. You can add or remove centre assignments at any time.
  • Employment status — their current status with a full history of changes
  • Address history — their current address with a full history

Compliance tab

The Compliance tab tracks the three key compliance areas for NZ ECE staff: Police vetting — whether vetting is required for this person, and a record of all vetting results. Each record includes the vetting agency, dates, result, and next due date (automatically set to three years from the result date). New vetting records can be added directly from the profile. If a staff member is exempt from vetting requirements, this can be toggled on their profile — they’ll be excluded from vetting expiry alerts. Teacher registration — whether the staff member is a registered teacher, their Teaching Council registration number, and expiry date. A full history of registration records is kept each time the details are updated. Visa / work rights — whether they’re entitled to work in NZ, their visa type, and expiry date. A history of all visa records is kept.

Qualifications tab

The Qualifications tab holds: First aid certificate — whether they hold a current certificate, the provider, course name, and expiry date. A history of all first aid records is kept each time the details are updated. Other qualifications — a list of additional qualifications with institution and year.

Pay Parity tab

The Pay Parity tab shows the staff member’s pay parity configuration and a full history of pay parity reviews. This tab is only visible to users with HR access. A toggle controls whether this person is included as a pay parity educator. Switching them off excludes them from the pay parity register and RS7 counts.

Centre assignments

A staff member can be assigned to multiple centres. One centre is marked as their primary. Centre assignments control which compliance data and training records they appear in — a staff member assigned to two centres counts towards compliance at both.
