All staff members must be legally entitled to work in New Zealand. The Visa & Work Rights section on the Compliance tab records their work rights status and tracks any visa expiry dates, with a full history of every update.

Recording visa and work rights

From the staff profile Compliance tab, scroll to the Visa / Work Rights section. Fill in:
  • Entitled to work in NZ — Yes or No
  • Visa type (if applicable):
    • NZ Citizen
    • NZ Permanent Resident
    • Work Visa
    • Other
  • Visa expiry date — required for work visas; not needed for NZ citizens and permanent residents
Click Save. A new entry is added to the history, and the status badge updates automatically.

Work rights status

The status badge is calculated from the visa expiry date (where applicable): NZ citizens and permanent residents show as Current without an expiry date.

Visa and work rights history

Every time visa or work rights details are saved, a new row is added to the Visa / Work Rights History table below the form. The history shows:
  • Entitlement status
  • Visa type
  • Visa expiry date
  • Status badge
  • Who recorded it and when
History is permanent — entries cannot be edited or deleted. This gives you an auditable record of work rights status over time, which is important for both compliance and employment law purposes.

Staff from overseas

For staff on work visas, keep the expiry date up to date as their visa is renewed. When a new visa is granted, save the updated details — the new record becomes current and the previous one moves to history.
